The Founders Affiliate of the American Heart Association is recruiting to fill a part-time Office Clerk in the Facilities Department of our Robbinsville, NJ office. This position will work 25 hours per week, (5 hours per day 5 days per week).

Major Duties:

Opening, processing (date stamping) and distribution of mail and packages (includes notifying the proper person when deliveries are made).

Processing all outgoing mail and packages (USPS, UPS and FedEx) drop mail at post office, maintain postage machine and order replenish postage as necessary:

  • Advise staff of postal regulations and changes.
  • Maintain necessary logs and records.
  • Determines the most appropriate and cost-effective methods of expediting the delivery of bulk mailings and time-sensitive materials.

Supports the office staff in handling arrangements for meetings of internal staff, volunteers and external groups and clients in order to assure that logistics, including beverage) and audio-visual needs are anticipated and met in a timely and cost-effective manner.

Supports the Office Services Manager/Lead AA in handling arrangements for meetings of internal staff, volunteers and external groups and clients in order to assure that logistics and audio-visual needs are anticipated and met in a timely and cost-effective manner.

Assist managers with temperature control of HVAC units, minor plumbing and electrical troubleshooting, water cooler repairs etc. Support to the Facilities Manager in maintaining all office equipment, furniture and space in neat and working order. Provides additional support setting up and moving office equipment and furniture to meet staff and volunteer needs This does not include computers, printers (but can provide support in installing toner as necessary) and telephones.

Provides additional support to switchboard operations when necessary. Greets visitors to the office and contacts the appropriate AHA staff person, or directs the visitor to the assigned conference room if they are here for a meeting.

Answers inbound calls that come through the main switchboard, responds to inquires for information by either providing the information or directing the call to the appropriate resource. This position will also transfer incoming calls for staff to the correct extension or voice mail as required.

Responsible for ensuring all staff and visitors sign in and out on the appropriate log sheet when they enter or leave the building. During an emergency evacuation this position is responsible for bringing the log in/out sheet to ERT (Emergency Response Team) Outside Coordinator for attendance purposes to ensure all staff are safely evacuated.

Stock all machines with paper, toner and any other supplies regularly. Keep records with inventory of all general office supplies, toner, envelopes and stationary stock and order when necessary.

Pick up debris when necessary interior and exterior in providing a clean and safe atmosphere. When/if necessary remove trash and recycling to outside containers.

Miscellaneous Duties

  • Runs errands as needed (i.e., bank, post office).
  • Occasionally drive van or small box truck up to 24' to pick-up and deliver supplies, water, food, auction items to various events, including some that are scheduled on weekends.
  • Contacts vendors as necessary.
  • Perform other tasks and special projects as needed.

Qualifications:

  7. Preferred experience using photocopiers, postage meters and other office machines
  8. Ability to lift and carry packages typically up to 25 lbs regularly and 50 to 100 occasionally.
  9. Valid driver's license, proof of at least minimum state required automobile liability insurance and ability and willingness to travel as position demands.
  10. Satisfactory background checks including consumer credit, motor vehicle, and criminal history.

Education/Experience:

High School diploma or equivalent.
