As a key member of the Lindt & Sprungli (North America) Inc. (LSNA) Transportation team, the Freight Audit & Payment Analyst plays a vital role in supporting Russell Stover, Lindt US, and Ghirardelli Chocolate brands. This position involves meticulous analysis and approval of transportation freight invoices for payment to all LSNA transportation carriers. The successful candidate will leverage their expertise in managing a high volume of invoices, resolving financial intricacies, providing guidance to other analysts, and fostering a culture of continuous improvement. This role requires a detail-oriented professional who is proficient in utilizing a Transportation Management System (TMS), excels in independent problem-solving, and possesses strong collaboration skills to build partnerships with internal and external stakeholders.

Essential Functions

  • Conduct comprehensive audits of LTL (Less Than Truckload), IMDL (Intermodal), and TL (Truckload) invoices, meticulously validating charges while ensuring strict compliance with transportation agreements, carrier guides, and payment terms.
  • Conduct thorough reviews of billing data and supporting documentation, meticulously identifying any discrepancies, and promptly taking necessary steps to rectify them, ensuring accurate and compliant invoice processing.
  • Monitor all carrier's submitted accessorial charges within the TMS platform within the allotted time frame, meticulously reviewing accompanying supporting documentation to validate the accuracy and legitimacy of charges before approving them for payment.
  • Collaborate closely with finance and operations departments to ensure consistency and integrity of financial practices.
  • Effectively communicate unresolved carrier issues to management for timely resolution.
  • Troubleshoot TMS (Transportation Management System) issues with carriers, offering technical support and training as necessary to ensure smooth processing of invoices and adherence to system requirements.
  • Provide comprehensive financial reports to transportation carriers including analysis and reconciliation.
  • Provide dependable backup assistance to fellow freight audit and payment analysts as needed, ensuring seamless continuity in operations and support during absences or high-volume periods.
  • Collect and organize Proof of Deliveries (PODs) for various internal customers including the Brands, operations, and finance.
  • Serve as a customer service representative, addressing inquiries related to carrier invoicing as needed, providing prompt and effective resolution to any concerns or questions raised by carriers or other stakeholders.
  • Take on special projects and additional responsibilities as assigned by management, demonstrating flexibility and a willingness to contribute to team objectives and organizational goals.

Basic Qualifications

  • High school diploma or GED.
  • Strong foundational math skills.
  • Exceptional precision and attention to detail.
  • Strong analytical and problem-solving skills.
  • Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
  • Effective communication skills, both written and verbal.
  • Ability to work collaboratively with cross-functional teams.
  • Experience using Microsoft Office Suite, including proficiency in Microsoft Excel.
  • Minimum of 2 years of experience in accounts payable (AP) functions, transportation, logistics, supply chain, or accounting.
  • Knowledge of transportation and supply chain processes.
  • Customer service skills to address inquiries and concerns from internal and external stakeholders.

Preferred Qualifications

  • Bachelor's degree in accounting, finance, business administration or related field.
  • Experience in transportation billing, accounting, or financial analysis role.
  • Proven ability to identify and solve complex issues related to freight billing and payment.
  • Experience working with TMS platforms such as E2 Open (BluJay), Oracle Transportation Management, or SAP.
  • Proven track record of identifying opportunities for process improvements and implementing changes to enhance efficiency.
